The Lease and Real Estate Systems Administrator provides support for the administration and execution of all lease and lease-related activities held by Eddie Bauer LLC and its affiliates.





Core Accountabilities:

  • Responsible for supporting all aspects of the lease process, including:
    • Verifying approved business terms lease drafts and amendments with Real Estate.
    • Utilize systems to tracks critical lease dates for the entire fleet, coordinating timely exercise of lease options, renewals and kick-out rights.
    • Ensure leases are sent for proper lease abstracting of legal documentation in partnership with our outside database vendor and Lease Accounting.
    • Utilize tracking system for ongoing/current working legal documentation in progress with outside counsel to ensure timely execution, processing and preparing of memos for internal lease execution as well as generating FedEx labels for outside distribution.
    • Maintain the ongoing filing of legal notifications, leases, etc. to the actual lease files (electronic and hard copies).
  • Responsible for coordinating timely execution of SNDAs, certificates of insurance, and legal notices to landlords.
  • Maintain accurate legal tracking report in the appropriate database to ensure accuracy of information.
  • Coordinate with Real Estate and Lease Accounting on the preparation and submission of tenant allowance requests with oversight by Manager of Lease Administration and Real Estate Systems
  • Review the leasing activity report for current and out years, including expirations, active kick-outs and options, and partnering with Real Estate to ensure appropriate action plans are in place.
  • Coordinate with Accounting on payment requests, reimbursements and disputes.
  • Document system process/procedures along with periodic updates keeping application procedures current as well as keeping users on track.
  • Perform data entry and fulfill basic requests for multiple systems in the Real Estate Division, including but not limited to the following:
    • Database (fixtures, Recomp1, Mall Directory, Leasing, NRB, etc.)
    • Administration support of ProCore
    • Ad-hoc query/report development
    • Scanning/File Server Management/CD Burning
  • Serve as primary system trainer to system users as needed.
  • Liaison to Desktop Support, communicating system issues to Real Estate in a timely manner.




Education/Experience Required:

  • Bachelor’s degree in Business or related Real Estate or legal Field or equivalent lease administration experience preferred (equivalent experience in lieu of a degree acceptable).
  • 2 years working in a lease administration role in the retail industry required.
  • Experience reviewing legal documents and should have general familiarity with retail lease terminology, calculations, financial terms and principles.
  • Experience with real estate management cycle in a retail setting preferred.
  • Strong proficiency with the Microsoft Office Suite including Excel, Word, required.
  • Experience collaborating with others using excellent verbal and written communication skills.
  • Proven experience with detail-oriented projects requiring multi-tasking, advanced planning, and managing multiple priorities simultaneously.

  • The associate must frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus.
  • Ability to work in open environment with fluctuating temperatures and standard lighting
  • Ability to work on computer and mobile phone for multiple hours; with frequent interruptions
  • Required to travel in elevator or stairwells to attend meetings and engage with associates on multiple floors throughout building
  • Hotel, Airplane, and Car Travel Required
